Assistant for our Quality and Risk team (m/f) - Job based in Luxembourg

Your future team: 

Our National Quality Risk and Security (NQRS) team brings together our various technical and compliance functions, each of which shares a common three-part purpose: improve the quality of our work, protect the Firm's reputation and manage the risks associated with our business.

In order to assist this team with the daily management of tasks, we are currently looking for an Administrative Assistant (experienced profile) for the team.

Your next challenge:
  • Provide assistance with all administrative tasks in order to ease the team’s daily activity: including managing the day-to-day operations, arranging meetings, mailbox management, preparing business letters and contractual arrangements, managing holidays, travels and other absences requests
  • Monitor the administrative tasks following progression, status, sending reminders and recording each step of the process in a structured and timely manner
  • Work closely with the Learning department on matters related to trainings (logistics, documents) as well as with the Legal department
  • Prepare and follow-up of on-boarding process of new members of the team
  • Report on the team’s activity, issues and follow-up on actions decided by the project management team
  • Provide a first point of contact to a wide range of internal and external clients
  • Provide information by collecting and sharing the relevant data, references, documents or contacts
  • Participate in project coordination, ensuring that all project members are updated with the most recent meeting minutes, action points, priorities, schedules and reports
  • Be responsible for research and production of documents as required using internal databases, Internet & publications
  • Manage documents related to Security, Privacy and Confidentiality 
  • Provide administrative support to the team in GDPR matters
Your skills:
  • Have experience working in a similar role, as administrative support
  • Ideally provide experience working in a fast paced and dynamic environment
  • Are service-focused with excellent interpersonal skills and a professional approach at all times
  • Are results oriented with a ‘can do’ attitude
  • Are proactive with excellent organisational and time management skills with the ability to deliver a high quality of work within tight deadlines
  • Are able to prioritize tasks and have problem solving skills
  • Show strong team spirit whilst being able to work autonomously
  • Demonstrate excellent IT skills in Word, Excel, PowerPoint, and Outlook
  • Demonstrate good reporting/writing skills, good attention to detail and ability to multitask tasks from multiple contact
  • Have a working knowledge of English and French
