We are currently looking for a Senior Personal Assistant for our Audit Department.

How you’ll contribute to our success

 

  • Deliver guidance to two Partners by anticipating requirements and identifying opportunities to act on their behalf, including managing complex diaries, arranging travel and meetings, and performing administrative tasks.
  • Provide comprehensive administrative support to the team, including organising meetings and conferences, distributing mail, arranging travel, preparing business letters, handling timesheets, and processing holiday and other absence requests, while also supporting any ad hoc requests.
  • Act as the first point of contact for a wide range of internal and external clients, dealing with confidential queries, building relationships, and enhancing client-facing activities.
  • Manage the invoicing process and complete accurate financial reporting of client invoices in adherence to monthly deadlines and firm procedures; participate in project coordination by keeping all project members updated with meeting minutes, action points, schedules, and reports.
  • Conduct research and produce documents using internal databases, the Internet and publications; organise informal team events and manage the associated budget.

 

 

Your skills

 

Must have

 

  • University or Bachelor's degree in an administrative-related field
  • 5–7 years of previous experience as an executive/personal assistant
  • Customer-focused with excellent social skills and a professional approach at all times
  • Demonstrated self-starter, creative, with a strong “can-do” attitude; proactive with excellent organisational and time management skills and ability to deliver high-quality work within tight deadlines
  • Ability to work and communicate effectively with a variety of personalities, including senior-level executives; able to maintain a high level of integrity and discretion in handling confidential information
  • Very good level of English

 

Nice to have

 

  • Advanced level of proficiency in MS Office products (Word, Excel, PowerPoint, Outlook)
  • Very good level of French
  • Knowledge of German or Luxembourgish (considered an asset)
  • Experience working in international or multicultural environments
  • Proven track record of handling highly sensitive executive matters independently
